Summer Camps and Conferences

We are thrilled to offer you the perfect on-campus accommodations for your summer conference or program. Our summer housing season spans from early May through late July, providing ample time and space for a wide variety of groups. NCCU is proud to host programs of all sizes and purposes, and we are dedicated to creating a supportive and comfortable environment for your stay.

To secure your preferred dates and arrangements, we encourage groups to begin the application process each January. Completed applications are considered on a first-come basis, allowing us to ensure that final arrangements are in place well ahead of your arrival.

The group sponsor agrees to provide a Certificate of Liability Insurance for registrants in their conference, camp, or group if the group is not a North Carolina Central University department sponsored event. The group sponsor is required to secure liability insurance coverage of a minimum amount of $1,000,000.00 for the period the group will be on campus.

Programs and activities covered by REG – 80.07.1 – Protection of Minors on Campus Regulation, to ensure the safety of the minors in our care, are required to register with the Youth Programs and Camps at the NCCU office. The determining factor regarding whether the activity or program falls under REG 80.07.1 depends on who is providing direct supervision for the care, custody and control of the minors while participating in North Carolina Central University activities.

Internal Youth Camps

External Youth Camps

Groups that have participants under the age of 18 must provide continuous live-in adult supervision during the entire duration of the group's stay. At no time will a child who is under the age of 18 and not an enrolled student at North Carolina Central University be allowed to reside or lodge unsupervised in an NCCU Housing residence hall. All youth conferences and camps are required to have a counselor-to-participant ratio of 1:25 for participants 12 to 17 years of age and older, and a counselor-to-participant ratio of 1:5 for participants 11 years old and under. 

The group sponsor, conference personnel, sponsors, staff and participants are responsible for complying with all University rules and regulations set forth in the University Housing Community Standards Guide.

The group sponsor is responsible for all fees incurred by the group or its members, including but not limited to accommodations, sales tax, facility usage fees, linen usage, lost linens, lost keys, damages, and cleaning fees. Collecting fees from individual group members is solely the responsibility of the group sponsor.

All groups will be required to pay a 10% deposit when signing the contract. Any group with a history of delinquent payments, solely determined by the Office of Special Operations may be required to pay a deposit of not more than 50% of the estimated balance 14 days prior to the scheduled check-in. Any group with a history of delinquent payments will be notified in writing regarding the deposit payment amount and due date.   

Payments not received by the Office of Special Operations from the group sponsor within 15 days of the date of the final invoice will be assessed a 5% late fee for every 30-day period the final invoice remains unpaid. 

Future or pending reservations will be canceled for any group with an outstanding invoice that has been unpaid for more than 60 days until full payment is received. Any group with an invoice outstanding after 180 days from the date of the final invoice will be subject to having their account submitted to a collection agency. 
 

In the event of cancellation by the group sponsor and group, the Office of Residential Life may experience significant monetary losses. This fee is to be based upon the reasonable projected revenue for the Office of Residential Life from the group’s reservation and event. The group shall also be expected to reimburse the Office of Special Operations for all non-cancellable obligations and expenses incurred in preparation for the group’s event. The following guidelines shall be used to assess charges:

Cancellation occurs:

1. More than 30 days in advance – no fee
2. Less than 30 days in advance – The group will be billed for 15% of the contracted revenue for housing space along with any other related services incurred for rentals or reservations.
